Refund & Cancellation Policy

This policy explains when an order or subscription can be cancelled, when money is returned, and how long that takes. It applies to everything sold by Zrubix Technologies under the SOP3A name.
1. What this policy covers
SOP3A sells four different kinds of thing, and each one cancels differently. Find the one you bought below — the rules for the others do not apply to it.
- Subscriptions — ongoing access to the SOP3A platform, billed per period
- Digital products — template packs, bundles and checklists delivered as files or unlocked in your account
- Physical items — printed and bound procedures, delivered by courier
- Services — workshops, onboarding sessions and audits delivered by a person on a booked date
2. Cancelling a subscription
You may cancel a subscription at any time, from your account or by writing to support@sop3a.com. There is no cancellation fee and no notice period.
- Access continues until the end of the period you have already paid for. Nothing is switched off on the day you cancel.
- You are not billed again after that period ends.
- Part of an unused period is not normally refunded, because the service was available to you throughout it. Section 6 lists the cases where we do refund it.
- Your data stays available for export throughout the paid period. See the Privacy Policy for what happens to it afterwards.
3. Digital products
A digital product is delivered the moment payment succeeds, so it cannot be returned the way a physical item can. We therefore treat it like this:
- Not yet downloaded or opened. Ask within 7 days of purchase and we will cancel the order and refund it in full.
- Faulty, incomplete, or not what the page described. Tell us what is wrong. We will fix it or replace it, and if we cannot, we will refund it in full — whether or not it has been downloaded.
- Bought by mistake, or charged twice. Write to us. A duplicate charge for the same item is always refunded.
- Downloaded and working as described. This is not normally refundable, because the file is already yours. Write to us anyway if you are unhappy — see section 6.
4. Physical items
Printed items are made and dispatched to order. The Shipping & Delivery Policy says how long that takes.
- Before dispatch. Cancel for a full refund. Write to us as soon as you can — once a binder has gone to print we may not be able to stop it.
- Damaged in transit, or the wrong item. Tell us within 7 days of delivery, with a photograph. We send a replacement at our cost, or refund you in full if you prefer.
- Never arrived. Tell us and we trace it with the courier. If it cannot be found we replace it or refund it.
- Changed your mind after delivery. A printed binder carries your own procedures and cannot be sold to anyone else, so it is not returnable unless it is faulty.
5. Services and workshops
A booked session holds a date in a real person's calendar, so the notice you give matters.
- More than 7 days before the date. Cancel or move it at no charge, refunded in full.
- Between 2 and 7 days before. Move it once at no charge. A cancellation is refunded at half, because the date can rarely be filled at that notice.
- Less than 48 hours before, or nobody attends. Not refundable.
- If we cancel or postpone. You choose: a new date, or a full refund. That holds however late the change is and whatever the reason.
6. How to ask for a refund
Write to support@sop3a.com from the email address on the order, with the order number and one line saying what went wrong. There is no form to fill in.
- We reply within 2 working days, with the decision and the reason for it.
- If we need something from you — a photograph, an order number, a screenshot — we ask once and clearly.
- If the answer is no, we say so plainly and name the part of this policy that applies, rather than going quiet.
7. How a refund is paid
- Always back to the original payment method. We cannot send it anywhere else, and we never ask you for card or bank details to process one.
- We start the refund within 7 working days of approving it.
- Your bank or card issuer then takes its own time — usually a few working days, sometimes a full billing cycle. That part is outside our control, and we give you the reference number so you can chase it.
- Refunds are made in the currency you paid in. If an exchange rate has moved in between, the difference is between you and your bank.
8. Deleting your account
Cancelling a subscription stops the billing. Deleting the account removes the data. They are separate on purpose, so that stopping a payment never destroys your procedures by surprise. To delete an account, write to support@sop3a.com from the registered address. Export anything you want to keep first — the Privacy Policy sets out the deletion timetable.
9. Disputes and chargebacks
If you think a charge is wrong, please write to us before raising it with your bank. A chargeback freezes the payment for weeks and usually suspends the account while it is open, and almost every case we see is something we could have refunded the same day. We would rather fix it than fight it. If we cannot agree, the Terms & Conditions say where a dispute is heard: Bangalore, India.
10. Changes to this policy
We may update this policy. The version that applies to your order is the one published on the day you bought — a later change never takes away a refund you were already owed. The date at the top of this page says when it last changed.
